Certificate states

Learn about the different states of a certificate.

A certificate is an object that verifies a client or partner meets a vendor’s requirements and eligibility criteria for a specific program.

A certificate can be in one of these states: Pending, Active, Expired, Updating, or Terminated. The following diagram shows the transitions between these states:

The following table describes the different states:

State
Definition

New

This is the initial or starting state. This state is assigned by the platform when the certificate request is created.

Pending

The certificate has been created, and it's awaiting approval by the vendor.

Active

The certificate is active.

Expired

The certificate has expired. You can renew an expired certificate by re-enrolling in the program.

Updating

The certificate is being updated due to re-enrollment in the program.

Terminated

The certificate has been terminated. Terminated certificates can't be used to re-enroll in a program.

View certificates

This topic describes how to view a list of certificates in your account, as well as details about a specific certificate.

View certificates list

To view your certificates:

  1. Go to Program > Certificates.

  2. View the list of certificates displayed on the page.

Use the Certificates page to view and manage certificates.

Open certificate details

On the certificate details page, you can view extended information for a certificate. Some information is read-only, while others include links that allow you to navigate to further details.

To view the certificate details:

  1. Go to Program > Certificates.

  2. Select the certificate you want to view. The certificate details page opens.

Rename certificate

Rename your Marketplace certificate from the certificate or program details page.

If you have multiple certificates for the same vendor program, you can choose different names for those certificates so you can identify them easily. Certificates can be renamed regardless of their current status.

You can rename a certificate either from the certificate details or the program details page. When updating the name, we recommend providing a unique name.

To rename a certificate from the certificate details page:

  1. Open the Certificates page.

  2. Select the certificate to rename.

Certificates

A certificate is issued once you enroll in a program and meet all vendor requirements.

It confirms that you have satisfied the eligibility criteria and are recognized as compliant with SoftwareOne and the vendor’s requirements.

This certification authorizes you to purchase program‑specific products and provides access to all associated benefits, incentives, and entitlements available within the program.

The Certificates page displays a list of your certificates.

To open this page, choose Programs > Certificates from the main menu.

On the Certificates page, you can view details, such as the certificate name and ID, name of the certificant, current status, and more.

You can also select a certificate to view detailed information organized across several tabs. The information available includes:

Terms

Shows the terms and conditions of the program.

Details

Shows additional details associated with the certificate, such as timestamps and additional IDs, if available.

Audit trail

Shows the audit trail for the certificate.

General

Shows the most up-to-date information for the certificate. For example, if your certificate has been activated, a message is displayed stating that your certificate is ready for use.

Parameters

Shows the ordering and fulfillment parameters for the certificate.

Enrollments

Use the certificate details page to manage a certificate.

Shows the enrollment associated with the certificate.

  • Current status of the certificate and actions you can take, if any.

  • Parameters linked to the certificate.

  • Enrollments and agreements related to the certificate.

  • Terms and conditions of the program.

  • Additional IDs, timestamps, and audit trail.

    Rename certificate

    On the certificate details page, select the dropdown arrow , then choose Rename.

  • In the Rename dialog, enter the new name.

  • Select Save. The certificate is renamed.

  • To rename a certificate from the program details page:

    1. Open the Programs page.

    2. Select the program related to the certificate you want to rename.

    3. On the program details page, select the Certificates tab.

    4. Select the desired certificate.

    5. On the certificate details page, select the arrow, then choose Rename.

    6. In the Rename dialog, enter the new name, then select Save. The certificate is renamed.
